ADMINISTRATIVE SERVICES ASSISTANT 3

Example Responsibilities:
  • Organize files and maintain and update proposal material for the network and hard copy files
  • Coordinate responses to public record requests
  • Document preparation for protests
  • Schedule meetings (must be able to do this through Outlook) this includes preparation of sign- in sheet, meeting agenda, directional signage to the meeting room, etc.
  • Support various aspects of the proposal development (building templates, proofreading for content, grammar, style and formatting, etc.)
  • Manage the collaborative workflow of the procurement process through final approval
  • Discuss in writing or verbally with affected parties issues and proposed solutions
  • Review of transaction files to ensure that all appropriate documents are included in the files before a matter is closed.
  • Light secretarial duties, such as answering phones, filing, copying, etc.
  • Management of document routing for signatures

Minimum Requirements:
Bachelor’s degree* and three years of administrative
*Additional experience can be substituted for the degree

  • Ability to effectively and efficiently manage multiple projects at one time
  •  Strong organizational skills
  •  Proactive attitude with the ability to initiate, manage projects through to completion
  •  Strong interpersonal skills, as this position will involve a great deal of interaction with third parties
  •  Excellent written and verbal communication skills
  •  Excellent computer skills, including Microsoft Word, and Excel
  •  Knowledge of procurement activities strongly preferred
  •  Knowledge of Edison (Oracle) system preferred
